Now Hiring Executive Assistant to the Board

Position Overview

The Sellwood Moreland Business Alliance (SMBA) Board seeks to hire an Executive Assistant. This role will be part time, approximately 10-15 hours per month, both remote and in person at various locations throughout the Sellwood-Moreland neighborhood.

Organizational Background/Overview

The SMBA is a not-for-profit mutual benefit corporation. Our members consist of all business and commercial property owners that fall within the geographic boundary of the SMILE neighborhood association locally known as the Sellwood and Westmoreland neighborhoods. We further identify those members who pay annual dues as active members, whose fees fund the many activities the SMBA provides or sponsors.  

The SMBA board is currently composed of 8 local entrepreneurs and business owners who volunteer their time to create a meaningful positive impact on our neighborhood’s businesses. We sponsor events and create partnerships with city organizations for marketing and training opportunities.

To promote, develop and preserve the Sellwood-Moreland business community as a desirable and vibrant place to work, shop and own commercial property.  

Job Structure

Hours: Approximately 10-15 hours/month contract labor position. During planning and execution of events, such as the Sellwood Street Fair or Decemberville, this may increase slightly. (Pursuant to the grant that funds this position, it runs 10 months from March 1 to Dec 31 and subject to renewal)

Pay: $40/hour

Supervision: The Executive Assistant will work with the entire SMBA board.

Job Description

  • Attending monthly general and board meetings as requested

  • Website updates; posting members’ events, updating membership profiles, creating event-specific pages as needed. The SMBA uses Squarespace as its website platform. 

  • Instagram and Social Media; Posting SMBA-sponsored and member-sponsored events and activities, as well as creating new content reflecting the spirit and energy of our neighborhood. May include developing new strategies and outlets for marketing.

  • Maintaining current Membership list and facilitating reminders for 

  • Email support; checking and organizing SMBA inbox regularly and alerting board members to urgent issues or messages.

  • Organizing and maintaining SMBA Google Drive (files, photos, including the creation and management of Forms and Sheets)

  • Event Support; Pick up marketing materials from local printers, Distribute marketing materials to neighborhood businesses, help set-up, tear-down and event support along with other SMBA members. Quarterly business member mixers and 2 larger events during the year.
